Contact Maintenance

The workspace contains functionality that allows users to view, edit, create and delete contact information.

Contact Details

To access details regarding a contact, highlight the desired contact record in the Client & Contacts section of the workspace and click . The Contact Detail window is displayed.

Access to this window is defined by a system administrator in System Management > Collection > Security Profiles.

Information imported from the core can be viewed in this window but cannot be edited. The fields imported from the core appear disabled.

If desired, clear the Core Flag check mark to convert the contact to be locally-maintained. All contact data fields can be edited if they are locally-maintained and all contact phone number, address and email records are automatically switched to locally-maintained.

A contact record can be changed to locally-maintained even if one or more of their loans are still core-maintained.

If the contact is locally maintained but continues to be included in the files processed by the Download, the In Last Import field is selected but no information is actually loaded into Elements for the record. The Last Time Imported field indicates the last time this contact record was actually updated by the core system.

Contacts that were originally core-maintained can be converted back to being core-maintained. If the In Last Import field is selected, select the Core Flag check box to revert the contact to core-maintained.

Creating a New Contact

To create a new contact, click  next to the Client & Contacts section of the workspace. The Contact Detail window is displayed.

Enter any information about the Contact and click Save. Click Cancel to disregard creating the contact.

Editing a Contact

To edit an existing contact, highlight the desired contact in the Client & Contacts section of the workspace and click . The Contact Detail window is displayed.

Information imported from the core can be viewed in this window but cannot be edited. The fields imported from the core are disabled.

Make any modifications to the contact and click Save. Click Cancel to disregard any changes.

Deleting a Contact

To delete a contact, highlight the desired contact record in the Client & Contacts section of the workspace and click . The contact is deleted.

Contacts associated to active or charged off loans cannot be deleted. Upon clicking , a prompt appears indicating the deletion cannot be performed.
Follow-up notes linked to the contact are not deleted; they are just unlinked.
